An email address like [email protected] instead of a free address tells customers you are an established business. It also gives you practical control that a free personal account does not.
Why it matters
- Trust: customers are more likely to open and reply to email from a business domain, and it is harder for someone to imitate you with a look-alike free address.
- Control: the business owns the accounts, not an individual. When someone leaves, you keep their email and files.
- Flexibility: you can create addresses like info@ or billing@ that can be passed to different people over time.
- Security: business email services include admin controls, such as requiring two-step verification for everyone.
What you need
- A domain name, such as yourbusiness.com, registered in the business's name with an account the business controls.
- A business email service. Common examples are Google Workspace and Microsoft 365.
- Settings added at your domain registrar or DNS provider so email is delivered correctly. The email service gives you these settings step by step.
SPF, DKIM and DMARC in plain words
These three settings help other email systems trust that your email really comes from you, so your messages land in inboxes instead of spam folders, and scammers have a harder time sending email pretending to be you.
- SPF is a public list of the services allowed to send email for your domain. Think of it as a guest list.
- DKIM adds a hidden digital signature to each email, so the receiver can check it was not changed and really came from your domain. Think of it as a wax seal.
- DMARC tells receiving systems what to do with email that fails those checks, and can send you reports. Think of it as instructions to the door staff.
Your email provider shows you exactly what to add. Start DMARC in a monitoring mode, then make it stricter once you are sure all your legitimate email passes.
A few good habits
- Keep the domain registration on auto-renew, so it cannot quietly expire.
- Make sure at least two trusted people can reach the admin account.
- Turn on two-step verification for every mailbox.
